Booking Terms

Important booking information

Bookings are made by phone, message, or the contact form. Details (date, route, price, deposit) are agreed individually. Holding a date usually requires a deposit.

1. General Provisions

1.1. These terms define the rules for booking and participating in guided tours, courses and training organized by TatryHole (the Organizer).

1.2. Making a reservation (including paying a deposit) constitutes acceptance of these terms, the privacy policy and the cancellation rules.

1.3. The Organizer is TatryHole — Beata and Piotr Madej, based in Zakopane, Poland.

1.4. Contact: tatryhole@gmail.com, tel. +48 883 123 154.

2. Booking and groups

2.1. Bookings are made by phone, message or the contact form at tatryhole.pl. There is no self-service online booking calendar.

2.2. Individual participation (even one person) and group trips are possible. The website lists the maximum number of people per guide. For larger groups we add another guide.

2.3. Price ranges on the website are indicative. The final price and terms are agreed individually before the trip.

2.4. When booking, the client provides name, phone, email, number and age of participants, and — if relevant — health information or invoice needs.

3. Payments and deposit

We accept bank transfer, BLIK and cash. Details are agreed individually when booking.

3.1. To hold a date the Organizer usually takes a deposit. The amount and remaining payment deadline are agreed individually.

3.2. The remaining amount is settled before the trip or on an agreed date — by bank transfer, BLIK or cash.

3.3. The deposit holds the Organizer's availability for that day. Refund and transfer rules are set out in “Cancellations & Refunds”.

4. Invoices

4.1. Invoices are issued after the service and sent to the email provided when booking.

4.2. If you need a company invoice, please tell us at booking and provide the details (tax ID, company name, address).

4.3. The invoice will be issued and sent within 7 business days of service completion.

5. Participant obligations

5.1. The participant declares that they:

  • have appropriate health and fitness for the event,
  • have reviewed the equipment requirements,
  • will follow the guide/instructor's instructions,
  • will arrive on time at the meeting point.

5.2. The participant is responsible for appropriate clothing and equipment as agreed when booking.

5.3. The guide/instructor may refuse to continue if the participant breaks safety rules.

6. Route changes and safety

Participant safety is the priority. The Organizer may modify the route or program for safety reasons.

6.1. The Organizer may change the route, plan or program for safety reasons, including:

  • adverse weather,
  • official warnings (avalanche alerts, trail closures),
  • participants' health or abilities,
  • other safety-threatening circumstances.

6.2. Published route plans are indicative — the exact plan is arranged individually with the guide.

6.3. Safety-related route changes do not constitute grounds for complaints or refunds.

7. Cancellation by Organizer

7.1. The Organizer may cancel an event due to:

  • weather threatening safety,
  • official warnings (avalanche alerts, trail closures),
  • sudden illness or emergency of the guide/instructor,
  • other circumstances preventing a safe trip.

7.2. If cancelled by the Organizer, the client may choose:

  • Option 1: full refund of payments made,
  • Option 2: transfer to another date.

8. Insurance

8.1. The Organizer has liability insurance (OC).

8.2. Participant insurance (accident / medical costs) is arranged by the participant. The Organizer does not purchase NNW/KL policies for participants.

8.3. We recommend your own accident and medical-cost cover for mountain activities — especially for trips into Slovakia.

9. Personal data protection

9.1. The data controller is TatryHole.

9.2. Data is processed for booking, service provision and client communication.

9.3. Details are in the Privacy Policy available on the website.

10. Complaints

10.1. Complaints should be submitted in writing to tatryhole@gmail.com within 14 days of service completion.

10.2. A complaint should include contact details, description of the issue and expected resolution.

10.3. A response will be provided within 14 business days.

11. Final provisions

11.1. Matters not covered by these terms are governed by Polish law.

11.2. The Organizer may amend these terms. Changes do not apply to existing bookings.
